Knowlu is a study planner that helps users organize subjects, routines, study sessions, tasks, topics, study groups, reports, and AI-generated flashcards. This page explains what information Knowlu handles, why it handles it, and the choices you have.

1. Scope

This Privacy Policy applies to the Knowlu mobile application, this website, and related backend services used to operate the app. It covers information Knowlu collects directly from users, information generated through use of the service, and information processed by service providers working on Knowlu's behalf.

2. Information We Collect

Account and profile data

  • Name and email address
  • Sign-in provider such as Google, Apple, or email/password
  • Profile image, when available
  • Authentication identifiers such as Firebase user IDs
  • Login timestamps and device notification token status

Study and planning data

  • Subjects, colors, icons, routines, planned study times, and schedule preferences
  • Study records, completion history, streak-related activity, and reports data
  • Tasks, deadlines, topics, notes, and archive status
  • Flashcard sets, flashcard content, and flashcard-generation job history

Study group data

  • Study group names, invite codes, membership, roles, and weekly goals
  • Leaderboard rankings, wrapped summaries, and group activity needed for collaborative features
  • Name and profile image visible to other members of the same study group

Notifications, subscription, and device-linked data

  • Firebase Cloud Messaging token used for reminders and group updates
  • Subscription entitlement status, product identifier, store, renewal state, and expiration dates
  • RevenueCat webhook and billing event metadata needed to manage Knowlu Pro access
  • Local on-device storage used to support offline behavior, reminders, and faster loading

3. How We Use Information

  • To create accounts, authenticate users, and keep sessions secure.
  • To store and sync study-planning content such as subjects, routines, sessions, tasks, topics, flashcards, and study history.
  • To generate AI flashcards from files that users choose to upload.
  • To send reminders, push notifications, and study-group updates.
  • To provide subscription features, verify Knowlu Pro access, and restore purchases.
  • To maintain service quality, troubleshoot issues, prevent abuse, and enforce product rules.

4. AI and File Uploads

Knowlu includes an AI flashcard feature that allows users to upload supported study files such as PDF, Word, PowerPoint, and text documents. When a user starts flashcard generation:

  • The uploaded file is sent to Knowlu's backend for processing.
  • The backend may pass the file or extracted content to a configured AI provider, currently OpenAI, Anthropic, or Google Gemini, to generate flashcards.
  • The generated flashcards and flashcard-set metadata are saved to the user's Knowlu account.
  • Source upload files are intended to be deleted from the backend after processing completes or fails.

Users should avoid uploading information they do not want processed for flashcard generation. If Knowlu changes AI providers in the future, this policy should be updated to match the active configuration.

5. How Information Is Shared

Knowlu shares data only when needed to run the service, complete a user-requested feature, or comply with legal obligations.

  • Firebase is used for authentication verification and push messaging.
  • RevenueCat is used to manage subscription entitlement status. Apple App Store and Google Play may also process billing data when users purchase subscriptions.
  • OpenAI, Anthropic, or Google Gemini may process uploaded study files for flashcard generation, depending on the backend configuration.
  • Study-group members can see limited profile data and activity needed for shared group features.
  • Knowlu may disclose information to service providers, professional advisers, or authorities when reasonably necessary for operations, security, fraud prevention, or legal compliance.

6. Your Choices

  • You can edit or remove many study items inside the Knowlu app.
  • You can disable push notifications through your device settings or app permissions.
  • You can manage auto-renewing subscriptions through Apple or Google billing settings.
  • You can request account deletion using the instructions on the Delete Account page.

7. Retention and Deletion

  • Knowlu keeps account data and synced study content for as long as the account remains active and the information is needed to provide the service.
  • Temporary study-file uploads used for AI flashcard generation are intended to be cleaned up after processing.
  • If a user deletes certain study items inside the app, some historical study records may still remain in account history where needed for continuity of reports and past performance views.
  • If a user requests full account deletion, Knowlu should delete or de-identify account-linked data unless retention is required for security, fraud prevention, legal, tax, accounting, or compliance reasons.
  • Subscription and billing-related records may be kept longer when needed to document purchases, entitlement changes, disputes, refunds, or audit trails.

8. Security

Knowlu uses reasonable administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission over the internet or method of storage is completely secure, so Knowlu cannot guarantee absolute security.

9. International Transfers

Knowlu and its service providers may process information in countries other than the one where a user lives. By using Knowlu, users understand that their information may be transferred to and processed in locations where privacy laws may differ from those in their home jurisdiction.

10. Parents and Guardians

If a parent or guardian believes that a child has provided personal information to Knowlu without appropriate permission, they should contact Knowlu using the privacy contact listed below so the request can be reviewed.

11. Changes to This Policy

Knowlu may update this Privacy Policy from time to time to reflect product changes, legal requirements, or operational updates. When the policy changes, Knowlu should revise the "Last updated" date at the top of this page.
